Event Marketing Form Instructions
The Manchester Elks has many different platforms to help you advertise your event, sell tickets, seek volunteers, etc. This form is intended to help you, the Event Chairperson, fine tune what you’re looking for and what you feel are the best methods to get the word out. Please return your completed form to marketing@manchesterelks.org. Using this email address ensures all members of the marketing team will receive it.
Event Information:
This section of the form is for you to provide us with all the necessary information regarding
your event, including:
Event description
Location and Date/Time of the event
Contact information for organizer
Are tickets being sold:
We can have tickets printed so they can be sold in the lounge. This also allows us to track ticket sales.
Supporting a particular effort:
Fill in this section, if you’re event is supporting an Elks initiative like the Safe Kids program, ENF, or Veterans.
Volunteers
If you need volunteers for your event, this is where you’d let us know what your needs are for volunteers (kitchen help, decorations, setup/cleanup, etc..). Volunteers are a great way to get fellow Elks members involved and evenly distribute the work!
Advertising Options:
This section of the form lists all the different methods available to publicize your event or solicit for volunteers, including:
Webpage – Our website is a great place to showcase your event.
Volunteer Signup Online – This option allows volunteers to submit their name and contact information online in addition or instead of via a paper sign up form posted in the lounge. This option would be available in the Members only section of the website. The chairperson would receive an email as each member signs up.
Facebook – Select this option if you want us to publish the event on our Elks Facebook page. This can be shared among friends and family to reach a broader audience.
Facebook Event – This is if you’re looking for an event to be created where people can select if they’re ‘Going to the Event’ or ‘Interested in going’. It’s a nice option for events where you may be looking to get rough headcount.
Email Blast – We can email all members of the Manchester Elks with your specific event details. Please include the date(s) you’d like your emails sent.
Message Board in Lodge – Select this option if you’d like to have your event displayed on the TV’s within the lodge. These can be seen by anyone in the lounge or the hall.
Monthly Newsletter – The monthly newsletter goes out to all members and ensures your event makes it on the Events Calendar.
Banner over the Bar – Primarily for events where tickets are being sold or members are encouraged to attend. These banners hang about the bar in the lounge and can be put up weeks in advance.
Photographer – the official way to request a Lodge photographer for your event. The Photography Chair will reach out with any questions, specifics, etc.
Additional Information:
Any additional information should be attached to the form and forwarded to the committee.
This can include food menu’s, flyer’s, logo’s, etc.
